The Scientific Journal of the Faculty of Foreign Languages, University of Tirana, is committed to ensuring the long-term preservation, accessibility, and discoverability of all published scholarly content. This Digital Archiving Policy aims to safeguard the integrity of the scholarly record, guarantee continued access to published materials in the event of technical failures or platform migration, and align the Journal with internationally recognized standards for digital preservation.
1. Long-Term Digital Preservation
The Journal is committed to preserving all published articles and their associated metadata to ensure their long-term accessibility and availability.
To achieve this objective, the Journal uses or intends to use the following preservation mechanisms:
- PKP Preservation Network (PKP PN) – to provide long-term preservation of the Journal’s content through the Open Journal Systems (OJS) platform.
- LOCKSS (Lots of Copies Keep Stuff Safe) – where supported by the Journal’s publishing platform, to ensure permanent preservation and recovery of published content.
- Institutional Backup – all published articles, journal issues, and metadata are securely stored on the institutional servers of the Faculty of Foreign Languages and/or the University of Tirana to provide redundancy and facilitate data recovery in case of system failure.
2. Author Self-Archiving and Institutional Repositories
The Journal fully supports the principles of Open Access and encourages authors to deposit the final published version of their articles in:
- institutional repositories;
- subject-based repositories;
- personal academic webpages;
- recognized scholarly networking platforms that comply with copyright and licensing requirements.
The following versions may be archived:
- Pre-print – the version submitted before peer review; may be archived without restriction.
- Post-print (Author Accepted Manuscript) – the version accepted after peer review but prior to final typesetting; may be archived immediately after acceptance.
- Publisher’s Version (Final Published PDF) – the final published version may be deposited immediately after publication in accordance with the Journal’s Open Access policy.
Authors are requested to include the complete bibliographic citation, the article DOI, and a link to the official version of record published on the Journal’s website.
3. Metadata Preservation, Indexing, and DOI
To ensure the long-term discoverability and citation of published research, the Journal preserves and manages metadata in accordance with international publishing standards.
- Each published article is assigned a Digital Object Identifier (DOI), providing a persistent and citable identifier.
- Bibliographic metadata, including authors, affiliations, title, abstract, keywords, references, and other relevant information, are deposited with Crossref.
- The Journal supports the Open Archives Initiative Protocol for Metadata Harvesting (OAI-PMH), enabling metadata harvesting by indexing services, repositories, and discovery platforms.
- Metadata records are regularly maintained and updated to ensure their accuracy and long-term accessibility.
4. File Formats and Data Integrity
The Journal publishes content using standardized and widely accepted digital formats suitable for long-term preservation, including:
- PDF (or PDF/A where applicable);
- XML and HTML for metadata;
- standard formats for supplementary materials (such as CSV, XLSX, MP4, or other accepted file formats).
The Editorial Office performs regular backups and periodically verifies the integrity of archived files, metadata records, and DOI links to ensure that all published content remains complete, authentic, and accessible.
5. Preservation Strategy and Contingency Plan
In the event that the Journal ceases publication or migrates to another publishing platform, the Faculty of Foreign Languages and the University of Tirana will take appropriate measures to ensure the permanent preservation and continued accessibility of all published content.
During any migration process, the Journal will ensure:
- complete transfer of published articles and metadata;
- preservation of all existing DOI registrations;
- updates of Crossref records where necessary;
- prevention of data loss and broken links.
6. Policy Review
This Digital Archiving Policy is reviewed periodically by the Editorial Board to ensure compliance with evolving international standards for scholarly publishing, institutional requirements, and best practices in digital preservation.
Any substantial revisions to this policy will be published on the Journal’s official website.
